A consulting invoice should show your details and the client's, a unique invoice number, the invoice and due dates, the contract or statement of work (SOW) reference and any PO number, and one line per piece of work: consulting days or sessions with their dates, fixed fees for deliverables, and agreed expenses on separate lines. Describe each line in the client's own terms, such as "Pricing workshop, 2 days on site (14 to 15 Oct), SOW phase 1", so whoever approves it can match it to the contract. You can build one in Word, Google Docs or a spreadsheet, or use BillBee.work, a free invoice maker for freelancers that mixes daily and fixed lines and can print a calendar of the days you worked.

You ran two days of workshops, wrote up the findings and spent a few hours on calls with the finance director. Your contact was delighted. But the invoice goes to someone in accounts who was not in the room, and their job is to match it to a purchase order and a statement of work before anyone pays. A consulting invoice that makes that match easy gets paid. One that says "Consulting services: $8,000" gets questions.
This guide covers how each consulting pricing model looks on an invoice, how to describe advisory work, how to bill expenses and travel, how to fit the client's PO process, and a full sample you can copy. For the general process, see how to invoice as a freelancer.
How do consultants charge, and how does each look on an invoice?#
| Pricing model | How it works | How it looks on the invoice |
|---|---|---|
| Day rate | A fee per day, on site or remote | Strategy workshops, 2 days (14, 15 Oct) × $1,200 = $2,400 |
| Hourly | A fee per hour, often for calls and ad hoc advice | Advisory calls, 6 hours (2 to 30 Oct) × $180 = $1,080 |
| Per session | A fixed fee per workshop, coaching session or review | Leadership coaching, 4 sessions × $350 = $1,400 |
| Fixed project fee | One price for a defined outcome, often split into milestones | Market entry report, milestone 2 of 3 = $5,000 |
| Retainer | A monthly fee for availability or a set amount of time | October advisory retainer, up to 2 days = $3,000 |
| Value-based | A price tied to what the outcome is worth to the client | Shown like a project fee: one fixed line per milestone |
Day rates suit workshops and on-site work, because clients usually book that time in days anyway. If you are still working out your number, how to calculate your day rate has the formula and worked examples, and day rate invoices covers half days and travel days in more detail.
Mixing models on one invoice is normal: two workshop days at your day rate, plus a fixed fee for the written report. If the client pays a monthly fee for ongoing access to you, that is a retainer, and retainer invoices shows how to bill it and any work outside it.
What should a consulting invoice include?#
Start with what every invoice needs. The UK government's list is a good baseline anywhere: a unique invoice number, your name and contact details, the client's name and address, a clear description of what you are charging for, the date the service was provided, the invoice date, the amounts, any VAT, and the total owed. Add a due date and your payment details.
Then add the references a client's finance team uses to approve consulting work:
- Contract or SOW reference, with the phase or milestone ("SOW-0042, phase 1").
- PO number, if the client issued one, written exactly as they gave it.
- Service period, such as "1 to 31 October 2026".
- Project name or cost centre, if the client asked for one.
- Billed to date for long engagements: "£7,760 of £12,000 PO billed so far". It tells the budget holder where they stand before they have to ask.
If the client is a business in another EU country and is liable for the VAT under the reverse charge, the invoice must say "reverse charge" and show the client's VAT number. How to invoice international clients covers currency and cross-border tax in more depth.
How do you describe consulting work so it gets approved?#
Advisory work leaves little to inspect: no build to check, sometimes no file. The description is the evidence. Each line should name the activity, give the dates or quantity, and tie back to the contract, ideally using the same words the SOW uses.
| Too vague | Specific enough to approve |
|---|---|
| Consulting services | Pricing strategy workshop, 2 days on site (14, 15 Oct), SOW-0042 phase 1 |
| Advisory | Weekly advisory calls with the CFO, 4 × 1 hour (6, 13, 20, 27 Oct) |
| Report | Competitor analysis report, delivered 24 Oct (milestone 2 of 3) |
| Expenses | Return rail fare, London to Manchester, 14 Oct |
On a fixed-fee project, you do not need to list the hours behind each deliverable unless the contract asks for them. Name the deliverable and the milestone, and keep your working notes in case anyone asks.
How do you bill expenses and travel?#
Settle expenses in the SOW before you book anything:
- Which costs are billable: travel, hotels, meals, venue hire, materials.
- At cost or with a markup, and any caps or nightly hotel limits.
- Whether you need approval before booking.
- How travel time is billed: some consultants charge it at their full rate, some at a reduced rate, and some build it into the day rate. Any of these works if the client agreed it.
On the invoice, give each expense its own line with the date and what it was, below your fees. Keep receipts and send copies if the client asks for them. This keeps your fees clean and makes the expense lines easy to check against their policy.
If you are VAT registered in the UK, there is one trap. Travel you pass on to a client is usually part of your own service, so you charge VAT on it, even if the train ticket itself had no VAT. HMRC's own example is a consultant recharging £300 of travel: it is not a disbursement, so VAT applies. A true disbursement, such as a fee you paid on the client's behalf as their agent and pass on at exactly what it cost, can be left out of the VAT calculation, but only if every one of HMRC's conditions is met. Outside the UK, check your local rules.
How do you fit the client's PO and approval process?#
Larger clients pay through a process: a PO is raised before the work, your invoice quotes it, the budget holder approves it, and payment goes out in the next payment run. To get through it first time:
- Ask before you start: do they need a PO, who approves invoices, where invoices should be sent, and whether there are supplier forms to fill in.
- Quote the PO and SOW references on every invoice, in the same format the client uses.
- Do not bill past the PO amount. If the work is growing, ask for a change order or a new PO before you invoice the extra.
- Send supplier paperwork early. US clients often ask for a Form W-9, which you use to give your correct taxpayer identification number to a business that has to report payments to the IRS. A missing form can hold up the first payment.
- Use their portal if they have one. Some clients only accept invoices uploaded to a supplier portal, usually as a PDF.

VAT is charged on the travel and hotel too, because recharged travel is part of the consultant's service. A consultant who is not VAT registered would leave out the VAT number and the VAT line.
How to make a consulting invoice in Word or Google Docs#
1. Start from a clean template
Your details, the client's billing details, the invoice number and the dates at the top. Keep one blank master and copy it for each invoice.
2. Add a references block
Under the dates, add PO number, contract or SOW reference, and service period. Leave out any the client does not use.
3. Add one line per activity
Workshop days, remote days and calls on separate lines, each with dates and quantity. Use the SOW's names for the work.
4. Add fixed fees and milestones
One line per deliverable, quantity 1, with the milestone number if the project has them.
5. Put expenses last
One line per expense, with date and description, then subtotal, tax if you are registered, and the total with its currency code.
6. Check it against the SOW, then send
Do the rates, days and milestones match what was agreed? Then send it to accounts payable, with the PO number in the subject line, and copy your contact so they know it is on its way.
Consulting invoices in BillBee.work#
BillBee.work, a free invoice maker for freelancers, handles the mix of days and deliverables that consulting usually involves:
- Save the client once, with their currency, an invoice number prefix, a tax line (for example VAT at 20%) and your services: "Workshop day" and "Remote analysis day" as daily services at your day rate, and "Pricing report" as a fixed one.
- Log your days on the service calendar as the month goes. Each service has its own colour, so on-site and remote days are easy to tell apart.
- Auto-fill the invoice from the logged month. Daily lines arrive as days × rate, and you add fixed lines for deliverables on the same invoice.
- Turn on the work log to print a small calendar of the days you billed. It lets the client check your on-site days against their own diary and your travel lines.
Know the limits before you rely on it. There is no PO number or notes field, so put the PO reference in the service name, for example "Workshop day, PO HF-PO-88213". There are no expense lines, so add a fixed line such as "Travel, 14 Oct (receipts attached)" and email the receipts yourself. The single tax line applies to the whole subtotal, so if one cost is a true disbursement that must stay outside VAT, bill it on a separate invoice without tax. Hourly lines count 8 hours per logged day, so bill variable call time as a fixed line ("Advisory calls, 6 hours × £180"). Finally, BillBee.work gives you a share link rather than emailing the invoice, and PDF download is a Pro feature, which matters if your client only accepts PDF uploads to a portal.
Common consulting invoice mistakes#
| Mistake | What happens | Fix |
|---|---|---|
| One line: "Consulting services" | Accounts cannot match it to the SOW | One line per activity, with dates and the SOW reference |
| No PO number | The invoice is rejected or parked | Ask for the PO before you start and quote it exactly |
| Billing past the PO amount | Payment waits for a new PO | Track billed to date; ask for a change order early |
| Expenses blended into fees | Queries, and tax mistakes on recharges | Separate lines, with receipts ready |
| Expenses nobody agreed | The client disputes them | List billable costs in the SOW |
| Supplier forms not returned | The first payment stalls | Send them with or before your first invoice |
| Invoicing weeks after sign-off | You are paid weeks later | Invoice the day the milestone is approved |
Most consulting invoices that get stuck are missing a reference, not money. Put the SOW, the PO and the dates on every one, and the approval takes minutes.

How do I write an invoice for consulting services?
Add your details and the client's, a unique invoice number, the invoice and due dates, and the SOW and PO references. Then list each piece of work on its own line with dates, quantity and rate, put agreed expenses on separate lines, and finish with the subtotal, any tax, the total and your payment details.
What should I put in the description on a consulting invoice?
Name the activity, the dates or quantity, and the part of the contract it belongs to, using the same words as the statement of work. For example, "Pricing strategy workshop, 2 days on site (14, 15 Oct), SOW-0042 phase 1" is far easier to approve than "Consulting services".
Should consultants charge for travel time?
Only if the client agreed to it. Some consultants bill travel time at their full rate, some at a reduced rate, and some build it into their day rate. Write the arrangement into the SOW and show billed travel time as its own line.
Do I charge VAT on expenses I pass on to a client?
In the UK, usually yes. Costs such as travel that you recharge are treated as part of your own service, so VAT applies if you are registered. Only a true disbursement that meets all of HMRC's conditions stays outside VAT, and rules differ in other countries.
Do I need a PO number on a consulting invoice?
If the client issued one, yes. Many larger companies cannot pay an invoice without a matching purchase order, so ask for it before you start work and quote it exactly as given on every invoice.
When should a consultant send an invoice?
When your agreement says you can bill: at the end of each month for ongoing work, when a milestone is approved for project work, or at the start of the period for a retainer. Sending it the same day keeps the payment clock running.
