A freelance invoice template needs your details, the client's billing details, an invoice number, the invoice date and due date, a table of line items (description, quantity, rate, amount), the subtotal, any tax, the total and your payment details. You can copy the plain-text template on this page into Word or Google Docs, or build it in Google Sheets or Excel so the totals calculate themselves, then export it as a PDF. If you would rather fill in a form, BillBee.work, a free invoice maker for freelancers, has five invoice designs with a live preview and a share link for every invoice.

You need an invoice out today, and you do not want to design one from scratch. Below is a plain freelance invoice template you can copy straight into Word, Google Docs, a spreadsheet or even the body of an email. After it: how to fill in each field, how to set it up so the maths does itself, versions for day rates, hours and retainers, and what makes an invoice easy to approve.
If this is your very first invoice, how to invoice as a freelancer walks through the whole process, from agreeing terms to getting paid.

How do you fill in each field?#
| Field | What to write | Tip |
|---|---|---|
| Your details | Name or business name, address, email, phone | Identical on every invoice; add a logo if you have one |
| Billed to | The client's legal name and billing address | Ask who pays invoices; it is often not your day-to-day contact |
| Invoice number | A unique number, such as INV-001 | Never reuse a number, even for a cancelled invoice |
| Invoice date | The date you issue it | This is when the payment clock starts |
| Due date | An actual calendar date | "14 Nov 2026" is clearer than "Net 14" |
| PO / reference | The client's purchase order or project code | Some clients' systems reject invoices without one |
| Description | What you did, and when | "Homepage redesign, 4 days (6 to 9 Oct)", not "Design" |
| Qty and rate | Days, hours, or 1 for a fixed fee | Use the same unit you agreed in your quote |
| Amount | Qty × rate | Check the maths twice |
| Tax | Only if you are registered | Show the rate and your tax number |
| Total | Subtotal plus tax | Make it bold, with the currency code |
| Payment details | Bank, PayPal or Wise details, and your terms | Paying you should be a copy-and-paste job |
The UK government's checklist for invoices asks for a unique identification number, your name and contact details, the customer's name and address, a clear description, the supply date, the invoice date, the amounts, any VAT and the total, so the template above covers it. For the full checklist and the rules in other countries, see what to include on an invoice.
How to set it up in Word, Google Docs or Google Sheets#
1. In Word or Google Docs
Open a blank document and paste the header blocks: your details, the client's details, then the number and dates. For the line items, insert a table with four columns (Description, Qty, Rate, Amount) and five rows, and right-align the three number columns so the decimal points line up. Add the subtotal, tax and total as the last rows of the same table, so they stay aligned with the amounts.
Google Docs also has a Template Gallery at the top right of its home screen, which opens a copy of any template you pick. The blank-document route above gives you more control.
To send it, export a PDF: in Google Docs choose File, Download, PDF document; in Word, save or export as PDF.
2. In Google Sheets or Excel
A spreadsheet does the maths for you. Put descriptions in column A, quantities in B, rates in C and amounts in D, starting at row 10, and use these formulas:
| Cell | What it holds | Formula |
|---|---|---|
| B5 | Invoice date | Type the date |
| B6 | Due date (14 days later) | =B5+14 |
| D10 to D14 | Line amounts | =B10*C10, copied down |
| D15 | Subtotal | =SUM(D10:D14) |
| D16 | Tax at 20% (or 0) | =D15*0.2 |
| D17 | Total | =D15+D16 |
Set the print area to one A4 or Letter page, then download or save as PDF. A second tab works well as an invoice log: number, client, date, amount, due date and date paid. The IRS lets you use any record-keeping system that clearly shows your income and expenses, and a simple log like this is a good start.
3. Keep a master copy
Never edit last month's invoice in place. Keep one blank master, and for each new invoice make a copy (in Google Docs and Sheets: File, Make a copy), name it with the invoice number, then change the number, dates, lines and totals. That one habit prevents most template mistakes.
Which is better: Word, Google Docs, a spreadsheet or an invoicing app?#
| Word or Google Docs | Google Sheets or Excel | Invoicing app | |
|---|---|---|---|
| Maths | You do it | Formulas do it | Automatic |
| Invoice numbers | You type them | You type them | Usually automatic |
| Looks | Whatever you design | Harder to make polished | Pre-made designs |
| Paid or unpaid | A separate list | A log tab | Usually built in |
| Best for | Your first few invoices | Regular invoices with many lines | Repeat clients and monthly billing |
There is no wrong answer. A document template is fine for a handful of invoices a year. Once you are copying the same invoice every month and checking a log to see who has paid, an app saves real time.
Template versions for how you charge#
The layout stays the same; the description, quantity and rate columns change. Here is what a line looks like for each pricing model:
Day rate UX research, 4 days (6, 7, 8, 9 Oct) 4 days $550 $2,200.00
Hourly Bug fixes, 12.5 hours (1 to 15 Oct) 12.5 h $80 $1,000.00
Fixed price Logo design, final files 1 $1,500 $1,500.00
Retainer October retainer, up to 3 days support 1 $1,800 $1,800.00
- Day rate. List the dates as well as the count, so the client can match them to their own calendar. Day rate invoices covers half days, travel days and weekly or monthly billing.
- Hourly. Show hours to the agreed increment and the period they cover. Invoicing for hours worked explains rounding and timesheets.
- Fixed price. One line per deliverable or milestone, quantity 1.
- Retainer. Name the period and what it includes, and bill any extra work on separate lines. Retainer invoices has a full sample.
Some kinds of work need a few extra lines. Consultants often reference a statement of work and bill travel, covered in consulting invoices. Video crews split shoot days, editing and kit hire, covered in videographer invoices.
What makes an invoice template easier to pay?#
A good-looking invoice is not about decoration. It is about the person in accounts finding the four things they need in seconds: who it is from, how much, by when, and how to pay.
- Make the total and due date the most visible numbers on the page, after the word "Invoice".
- Keep it to one page whenever the work allows.
- Left-align text and right-align numbers, with the same number of decimal places throughout.
- Use your logo and the same colours every time, so repeat clients recognise your invoices in a busy inbox.
- Give payment details room. Small grey text at the bottom is where bank details get misread.
- Name the file with the invoice number, for example "INV-014 Sam Rivera.pdf".
- Send a PDF, not an editable file, so it looks the same on every screen and nobody changes it by accident.
Do you need a different template if you are VAT registered?#
Yes, it needs a few more fields. In the UK, a VAT invoice must show a sequential number, the time of supply, the date of issue if different, your name, address and VAT registration number, the customer's name and address, a description of the services, the VAT rate and the amount excluding VAT, and the total VAT in sterling. HMRC says you normally have to issue it within 30 days of the supply.
In the EU, a full VAT invoice needs similar details, plus the customer's VAT number when the customer is liable for the tax, and the words "reverse charge" in that case. To adapt the template, add your VAT number under your address, a VAT line with its rate, and the dates or period of work. If you are not registered, leave all of that off. Rules differ elsewhere, so check your tax authority's guidance.
Five invoice designs you can fill in online#
If you would rather fill in a form than format a document, BillBee.work is a free invoice maker for freelancers that works in your browser. You type into fields and watch a live A4 preview update as you go.
- Five templates: Classic, Slate, Glow, Minimal and Contrast. Switch between them on the same invoice and keep the one that suits you.
- Six accent colours: blue, indigo, teal, coral, crimson and noir, plus your logo.
- Fields filled once. Your details come from your profile. Each client is saved with their address, currency, invoice number prefix, services and rates, and an optional tax line.
- Automatic numbers and maths. Invoices are numbered like ACME-202610-003, and the total is also written out in words.
- Daily, hourly and fixed lines on one invoice, with an optional work log that prints a small calendar of the days you billed.
- A share link on every plan. The client opens it in a browser without signing up. PDF download is a Pro feature.
The free plan includes all five templates and up to 10 saved invoices. Be aware of what is not there: there is no separate notes, terms or PO number field, so put your payment terms in the Payment Details text (it prints on every invoice) and a PO reference in the service name. There are no expense lines, so add a fixed line labelled "Travel expenses". And BillBee.work does not email invoices for you; you paste the link into your own message.
Template mistakes to avoid#
| Mistake | Why it hurts | Fix |
|---|---|---|
| Editing last month's file | Old dates or numbers slip through | Copy a blank master every time |
| Leaving placeholder text | Looks careless and confuses accounts | Search for "[" before you send |
| Formulas pointing at the wrong rows | A wrong total | Check the subtotal against a calculator |
| Adding VAT when not registered | You charge tax you cannot charge | Only add tax once you are registered |
| No currency code | Paid in the wrong currency | Write USD, GBP, EUR next to the total |
| Sending an editable Word file | Layout breaks; numbers can be changed | Export a PDF |
Pick the version that matches how you charge, save a clean master, and your next invoice will take five minutes instead of an evening.

Create your first invoiceQuestions, answered
Is there a free invoice template for freelancers?
Yes. You can copy the plain-text template on this page into Word, Google Docs or a spreadsheet and fill it in. Google Docs and Sheets also have a template gallery, and free online invoice makers let you fill in a form and get a finished invoice.
How do I make a simple invoice template in Word?
Open a blank document, add your details, the client's details, the invoice number and dates, then insert a four-column table for description, quantity, rate and amount. Add the subtotal, tax and total as the last rows and your payment details underneath. Save it as a blank master and make a copy for each new invoice.
Should I send an invoice as a PDF or a Word document?
Send a PDF. It looks the same on every device, prints cleanly and is not easy to change by accident. A Word file can lose its layout on another computer, and some accounts teams will not accept editable invoices.
Can I use the same invoice template for every client?
Yes, and you should, because a consistent layout looks professional and is quicker to fill in. Change the client block, the invoice number, the dates and the currency for each one, and add a PO number line for clients who need one.
How do I make an invoice in Google Sheets?
Put descriptions, quantities, rates and amounts in four columns, use a formula such as =B10*C10 for each line amount and =SUM for the subtotal, and add tax and total rows below. Set the print area to one page and download it as a PDF. A second tab can serve as a log of every invoice you send.
Do I need a different invoice template if I am VAT registered?
Yes. A VAT invoice needs extra details, such as your VAT number, the VAT rate and amount, and the date of supply. In the EU, a reverse-charge invoice must also say "reverse charge" and show the customer's VAT number.
