How to Send an Invoice to a Client (Email, Link or PDF)

The invoice is finished. Now it has to reach the person who pays, in a form they can approve, at the right moment. Here is how to send it so it does not get lost.

How to Send an Invoice to a Client (Email, Link or PDF)
Short answer

To send an invoice, save it as a PDF or create a share link, then email it to whoever processes payments (often accounts payable, not your project contact) with a clear subject line such as "Invoice 2026-014 from Sam Rivera, due 14 Nov 2026". In the email, state the invoice number, amount, due date and how to pay, and ask them to confirm they have received it. Send it as soon as the work or billing period ends. BillBee.work, a free invoice maker for freelancers, gives every invoice a link the client can open without an account; it does not send emails, so you paste the link into your own email.

Your invoice is ready. How you send it, and who you send it to, decides whether it gets paid on time or sits in the wrong inbox for three weeks.

The UK's Office of the Small Business Commissioner describes exactly that: an invoice sent to the client contact, never forwarded to finance, and paid the same week once it reached the right department. This guide covers the ways to send an invoice, who should get it, copy-ready emails, timing, and what to do afterwards. For the full process from first quote to payment, see how to invoice as a freelancer.

What are the ways to send an invoice?#

Most freelancers email a PDF or a link. Larger clients sometimes ask for something else. Here is how the options compare:

MethodHow it worksGoodNot so goodBest for
PDF attached to an emailExport the invoice as a PDF and attach itUniversal; easy to file and forwardOld versions can circulate if you resendAlmost every client
Link to an online invoicePaste a link the client opens in a browserNothing to attach; always shows the current versionSome finance teams want a file to uploadSmall clients, quick turnaround
Client's supplier portalUpload the invoice to the client's systemStatus is visible; often required by large companiesRegistration and form fillingCorporates and public bodies
Structured e-invoiceData file sent through an e-invoicing networkMachine-readable; mandatory in some countriesNeeds compatible softwareVAT-registered businesses where required
PostPrint and mail itSome organisations still ask for paperSlow, costs postage, easy to loseOnly when requested
Chat or messaging appSend the link or PDF in a chatFast for informal clientsHard to find later; not a formal recordSmall clients, followed by an email copy

If you are VAT registered, a few rules sit behind these choices. In the UK, HMRC says you can only invoice electronically if your customer agrees to receive invoices that way, and an electronic VAT invoice must include everything a paper one would. In the EU, electronic invoices are treated as equivalent to paper ones when the recipient accepts them, and under rules adopted in March 2025, e-invoicing becomes the default for cross-border business invoicing from 1 July 2030. Some EU countries also have their own domestic e-invoicing or real-time reporting rules, where a PDF by email may not be enough, so if you are VAT registered in the EU, check your national rules.

Who should you send the invoice to?#

The person who hired you is often not the person who pays you. Ask before you send your first invoice, ideally when you agree the work:

  1. Which email address or portal should invoices go to?
  2. Which legal entity should the invoice be addressed to?
  3. Do you need a PO number on it?
  4. Should anything be attached, such as a timesheet or a report?
  5. When does your company make supplier payments?

Then send the invoice to the finance address and copy your project contact. Finance has the invoice; your contact sees it and can approve it quickly when finance asks. Small clients, where the owner pays the bills, can simply get it directly.

How to email an invoice, step by step#

1. Check the invoice once more

Number, client name, dates, line totals, total, due date, PO number and your payment details. One wrong digit in a bank account means a returned payment. What to include on an invoice has the full checklist.

2. Save it with a clear file name

Export to PDF so the layout cannot change, and name the file so it makes sense in someone else's downloads folder:

SamRivera_Invoice_2026-014_Northwind.pdf

Your name, the word "Invoice", the invoice number and the client. Avoid names like "invoice-final-v2.pdf".

3. Write a subject line they can search for

Put the invoice number, your name and the due date in it:

Invoice 2026-014 from Sam Rivera, due 14 Nov 2026

Finance teams search their inbox by invoice number, so this one line saves them from asking you to resend.

4. Put the essentials in the email body

The invoice number, the amount, the due date, one line on what it covers, how to pay, and whether the invoice is attached or linked. Someone who reads only the email should be able to approve it.

5. Send it from your usual address

Use the same email address every time, to the right person, with your contact in copy. A familiar sender is easier for the client to recognise, and harder for a fraudster to imitate.

6. Save a copy and note the due date

File the PDF and the sent email together, and put the due date in your calendar.

Change the details in square brackets. Keep it short: the invoice itself carries the detail.

When should you send an invoice?#

As soon as you are entitled to. The Small Business Commissioner's advice is that sending a clear invoice as soon as possible after the work is complete can help you get paid faster. In the UK, if you have not agreed a payment date, the law says payment is late 30 days after the customer gets the invoice (or after you deliver the work, if that is later), so a late invoice means late money.

How you billWhen to send the invoice
Day rate, billed monthlyThe last working day of the month, or the first of the next
Short job or one-off dayThe day the work is delivered
Fixed-price projectOn delivery, or at each agreed milestone
DepositBefore work starts, once the deal is agreed
RetainerAt the start of each period, in advance
Hourly workWeekly, fortnightly or monthly, as agreed

If your client pays suppliers on set dates, such as a monthly payment run, find out when, and make sure your invoice is in before the cut-off. Your due date and terms should be agreed before you start; net 30 payment terms compares the common options.

How do you know the client received it?#

Ask. One line at the end of your email, "Could you reply to confirm you have received it?", turns "I never got it" from a three-week delay into a same-day fix.

  • If there is no reply after two or three working days, send a short note asking whether it reached the right person.
  • If the client uses a supplier portal, check the invoice's status there instead.
  • Do not rely on read receipts. Many email apps block them, and they do not tell you the invoice reached finance.

Confirming receipt also gives you a clear starting point if you later need to chase. Payment reminders are a separate job, and payment reminder emails has templates for every stage.

How do you protect your payment details?#

Invoices are a target for fraud. The UK's National Crime Agency describes invoice fraud as criminals tricking someone into paying a fake invoice or diverting a genuine payment into their own account, often by impersonating a supplier or intercepting emails. Its advice to the people paying is to check any change to bank details by calling the supplier on a number they have used before.

You can make that easy for your clients:

  • Keep your bank details stable. If they must change, tell the client by phone as well as in writing.
  • Say it up front. A line in your first email, such as "My bank details will never change by email alone", tells a client what to be suspicious of.
  • Send from one address. Always the same email address, protected by a strong password and two-step sign-in.
  • Ask clients to quote the invoice number when they pay, so any odd payment stands out.

How to send an invoice with BillBee.work#

BillBee.work, a free invoice maker for freelancers, handles the sending part with a link:

  • Every invoice has a share link. Your client opens it in a browser without creating an account or signing up.
  • You send the link yourself. BillBee.work does not send emails. Copy the link and paste it into one of the templates above, or into a chat with a small client.
  • PDF on Pro. On the Pro plan, you can download a high-resolution PDF to attach, and your client can download the PDF from the link too. On the free plan, you share by link only, so if a client's finance team needs a PDF file for their system, that is a Pro feature.
  • Status at a glance. You mark an invoice paid yourself when the money arrives. If it is still unpaid after the due date, BillBee.work marks it overdue automatically, and the invoice shows a PAID or OVERDUE stamp to match its status.

It does not send reminders either, so the follow-up is still yours to do. The overdue count on the dashboard tells you who to chase.

What should you do after you send it?#

  1. Put the due date in your calendar, with a note of the invoice number and amount.
  2. Check for a reply confirming receipt, and follow up after two or three working days if there is none.
  3. Watch your bank account around the due date and match payments by reference.
  4. Mark the invoice paid in your spreadsheet or invoicing app as soon as the money arrives.
  5. Send a polite reminder if the due date passes without payment.
  6. Keep a copy. HMRC says VAT-registered businesses must normally keep copies of all invoices they issue for 6 years. Wherever you are, keep invoices with your tax records, and check how long your local rules require.

If your invoices keep getting stuck at the approval stage, the fix is usually on the invoice itself: a PO number, a clearer description, or the right addressee.

Questions, answered

Should I send an invoice as a PDF or a Word document?

Send a PDF. It looks the same on every device, cannot be edited by accident, and is the format most finance teams expect. Keep the Word or Google Docs file as your own editable template.

What should I write in an email when sending an invoice?

Keep it short: the invoice number, the amount, the due date, one line on what it covers, how to pay, and whether the invoice is attached or linked. End by asking the client to confirm they have received it.

When should I send an invoice to a client?

As soon as the work or billing period is finished, or at the point your contract says, such as a milestone or the start of a retainer period. Sending promptly matters because payment terms usually count from when the client receives the invoice.

Can I send an invoice by text or WhatsApp?

For small, informal clients, sending a link or PDF in a chat is fine if they are happy with it. Follow it with an email copy so you both have a record that is easy to find. Larger clients usually need it emailed to a finance address or uploaded to their portal.

Who should I address an invoice email to?

Whoever processes payments, which is often an accounts payable inbox rather than the person who hired you. Ask your contact at the start of the work, then send the invoice to finance and copy your contact so they can approve it.

How do I know if my client received my invoice?

Ask them to reply and confirm. If you hear nothing within two or three working days, send a short note asking whether it reached the right person. Read receipts are unreliable, and supplier portals usually show an invoice's status.
